ADL Assistant – Full-time

 

SUMMARY

The ADL Assistant performs and coordinates the administrative activities of the Academy of Digital Learning (ADL) in general and the Chief Technology Officer (CTO) specifically. These activities include office/laboratory management and support of the ADL staff, including administrative support of the CTO. As the staff of the ADL are often in other areas in the Museum or traveling, the ADL Assistant needs to be able to work independently. The ADL Assistant will report directly to the CTO.

The ADL Assistant is required to work in the ADL Laboratory area and will interact with Museum staff, VIPs and guests. Due to the interactions with a variety of people, the ADL assistant must handle the work efficiently with discretion and confidentiality.

 

BASIC FUNCTIONS AND RESPONSIBILITIES (including but not limited to):

  • Screening telephone calls, handling requests, and inquiries when appropriate.
  • Maintaining and organizing schedule of the CTO and planning and scheduling proper appointments and meetings for the CTO.
  • Dealing with incoming calls, post, email and taking notes in meetings.
  • Creating spreadsheets, composing correspondence, and managing databases.
  • Creating presentations, documents, reports, and using digital graphics and desktop publishing software, working with Museum graphic design.
  • Organizing meetings, attending them and ensuring that the CTO is well geared up for meetings.
  • Making decisions and assigning work to other staff members in the absence of CTO, and deputizing for the manager.
  • Conducting research and disseminating information through telephone, websites, mail services, and e-mail.
  • Maintaining and devising office systems, including filing, data management etc.
  • Organizing and maintaining electronic/paper files and managing projects.
  • Liaising with Museum staff, VIPs, and guests.
  • Providing orientation and training for new staff, conducting research on internet, operating and troubleshooting new office technologies.
  • Works with IT and Building Services staff on the maintenance and repairs including enhancements of the ADL equipment.
  • Maintaining budget for ADL.
  • Other duties as assigned.

 

QUALIFICATIONS

  • High school diploma
  • Degree in any field from an accredited institution.
  • Proficient in typewriting.
  • Articulate.
  • Excellent interpersonal and guest interaction skills.
  • Must be tactful in dealing with people.
  • Discretion, good judgment, and flexibility.
  • Organizational skills or management ability.
  • Initiative and ability to operate independently.
  • Must be proficient in; Microsoft Office Suit, Skype, Doodle, and Trello.
  • Experience managing others.
  • Experience developing and managing budgets.
